Job description

We are seeking a highly organised and detail-oriented Data Processing & Administrative Assistant to join our busy commercial kitchen estimating team. This role plays a key part in maintaining accurate data records, preparing documentation, and supporting colleagues across multiple projects. It is an excellent opportunity for an individual who enjoys working with information, spreadsheets, and problem-solving in a fast-paced environment. Full training will be provided on all systems, processes, and industry-specific tools., Data Processing & Record Management

  • Process, update, and verify data relating to projects, quotations, and suppliers
  • Input, edit, and maintain data using software tools such as Microsoft Office, AutoQuotes, and Monday.com
  • Maintain organised digital and physical filing systems for invoices, quotations, and project documentation
  • Conduct routine audits to identify discrepancies and ensure data accuracy and integrity
  • Uphold confidentiality and ensure compliance with internal data-handling standards

Administrative & Operational Support

  • Prepare reports, summaries, quotations, correspondence, and general documentation
  • Support project managers with administrative coordination and document control
  • Assist with monitoring budgets, timelines, and scheduling changes
  • Support day-to-day operations by managing general office and organisational tasks

Communication & Coordination

  • Communicate with suppliers, customers, and internal teams to gather or clarify information
  • Handle incoming calls professionally and direct enquiries appropriately
  • Work collaboratively across departments to help streamline processes and support project delivery

Requirements

Essential

  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Excellent organisational and time-management skills
  • High level of attention to detail and accuracy
  • Strong written and verbal communication abilities
  • Ability to multitask, prioritise, and work effectively within a team
  • Proactive problem-solving approach and willingness to improve processes
  • Familiarity with data entry, office administration, or similar tasks

Desirable

  • Previous experience in an administrative, clerical, or data-focused role
  • Experience using AutoQuotes, Monday.com, or other database/spreadsheet applications
  • Good typing speed and accuracy

Training will be provided for candidates eager to learn and develop new skills.

Pay: From £24,420.00 per year

Experience:

  • administration : 2 years (preferred)
  • data processing : 1 year (preferred)
