When a customer calls us, they are often experiencing one of the most stressful days of their lives. As our Job File Coordinator, you are the welcoming voice and the organized force behind the scenes that helps put their minds at ease. The Job File Coordinator is responsible for managing and maintaining accurate job documentation throughout the restoration process. This role supports production teams, customers, insurance carriers, and office staff by ensuring all job files are complete, compliant, and processed efficiently. The ideal candidate is detail-oriented, organized, customer-focused, and able to thrive in a fast-paced environment. We are looking for a positive, detail-oriented professional to support our office team, coordinate our crews, and keep our daily operations running like a well-oiled machine. What You’ll Do:
- First Impressions & Support: Provide polite, empathetic, and professional assistance to our customers and teammates via phone, email, and text.
- Crew & Job Scheduling: Act as the air traffic controller for our team by coordinating schedules and dispatching crews to where they are needed most.
- Data Integrity: Perform detailed and accurate data entry to ensure all job files and customer records are perfectly up to date.
- Team Collaboration: Provide vital daily administrative support and jump in to assist other departments as needed to keep the office running smoothly.
- Workspace Organization: Keep our digital files organized and easily accessible.
Requirements
- Industry Experience: Experience in the restoration industry. Experience working with Third Party Administrators is a must.
- Administrative Experience: 3-5 years (preferred).
- Exceptional Communication: You have excellent people skills and a warm, professional phone and email presence.
- Tech Savviness: You are highly proficient in Google Workspace and quick to learn new software.
- Superb Organization: You have a natural knack for multi-tasking, prioritizing, and keeping details from falling through the cracks.
- A Problem-Solving Mindset: You stay calm under pressure and love finding creative solutions in a fast-paced environment.
