Job description
We are seeking a friendly, highly organised and technology-confident Group Support Administrator to support our care homes across the Each Other Care group.
This is a varied and flexible role designed to provide administrative support during periods of absence within our homes. When direct cover is not required, you will support multiple homes remotely by managing enquiries, handling overflow calls and assisting with administrative tasks that contribute to occupancy, customer experience and the smooth running of our services.
You will often be the first point of contact for prospective residents, families, professionals and visitors. Your ability to create a positive and welcoming experience while efficiently managing multiple priorities will be essential.
The role is primarily remote, with occasional travel to our Lancashire homes when in-person support is required. During your induction period, you will spend time getting to know each home, building relationships with colleagues and understanding the individual character and needs of each service.
Key Responsibilities
Occupancy & Customer Enquiries
- Be a warm, friendly and professional first point of contact for Each Other Care.
- Answer and manage incoming telephone enquiries across multiple homes.
- Respond promptly to prospective residents, families and professionals.
- Ensure all enquiries are accurately recorded and followed up.
- Support homes to maximise enquiry conversion and occupancy opportunities.
- Help ensure enquiries and calls are responded to within agreed timeframes.
Administrative Support
- Provide administration cover for Home Administrators during annual leave, sickness absence and vacancies.
- Support day-to-day administration functions across multiple homes.
- Assist with document management, record keeping and reporting.
- Support compliance-related administration tasks where required.
- Maintain accurate records in line with company policies and GDPR requirements.
Systems & Technology
- Become confident using all core business systems and platforms.
- Support homes with administrative system tasks and data management.
- Maintain accurate information across multiple systems.
- Manage priorities across several homes confidently.
- Support continuous improvement by identifying more efficient ways of working.
Relationship Building
- Develop positive working relationships with Home Managers, Administrators and operational teams.
- Understand the culture and team dynamics within each home.
- Maintain professional and supportive relationships with residents, relatives and healthcare professionals.
- Demonstrate Each Other Care values in every interaction.
Flexible Group Support
- Adapt quickly to changing priorities and business needs.
- Provide support during periods of high demand.
- Travel to Lancashire homes when required to ensure continuity of service (notice will be given).
- Work collaboratively across the group to help homes succeed.
Requirements
- Previous experience in administration, customer service, reception or a similar role.
- Excellent telephone and communication skills.
- Confident using Microsoft Office, including Outlook, Word and Excel.
- Comfortable learning and using multiple digital systems.
- Enjoys helping people and delivering outstanding customer service.
- Is naturally friendly, approachable and professional.
- Thrives in a fast-paced environment where no two days are the same.
- Is highly organised and able to manage multiple priorities.
- Has strong attention to detail.
- Is confident using technology and learning new systems.
- Works well independently whilst remaining connected to a wider team.
- Shares and actively demonstrates our values.
Desirable Experience
- Previous experience within a care home, healthcare or social care environment.
- Experience supporting occupancy or enquiry management.
- Understanding of CI or CQC-regulated services.
- Experience working remotely or supporting multiple sites.
- Knowledge of care sector software., You enjoy supporting colleagues, sharing knowledge and helping others succeed.

Pay: £27,000.00-£29,000.00 per year
