Job description

To lead the development and implementation of a comprehensive document management strategy for the Estates & Facilities Management (EFM) department, ensuring efficient, secure, and compliant handling of all departmental documentation., 1. Document the Entire EFM Department

  • Audit and catalogue all existing documentation across EFM functions.
  • Identify gaps, redundancies, and compliance issues.

Create the Document Management Strategy

  • Develop a robust strategy aligned with organisational policies and regulatory requirements.
  • Define standards for document storage, access, retention, and security.

Procure a New Digital Document Management System (DMS)

  • Lead the procurement process, including requirements gathering, vendor evaluation, and selection.
  • Ensure the chosen system meets scalability, security, and integration needs.

Assist with Transition and Migration

  • Plan and oversee migration of existing documents to the new DMS.
  • Provide training and support to staff during the transition phase.

Requirements

  • Proven experience in document management systems and strategy development.
  • Strong knowledge of procurement processes and vendor management.
  • Familiarity with data protection regulations and compliance standards.
  • Excellent project management skills, including stakeholder engagement and change management.
  • Ability to work collaboratively across multiple teams and functions., * Experience in Estates & Facilities Management or similar operational environments.
  • Knowledge of digital transformation projects within large organisations.
