Job description

The Clinic Administrator provides administrative support to our hub management team supporting with telephone queries, reception duties and assisting the Hub Mangers with a range of administrative tasks. The postholder will contribute directly to delivering an exceptional patient experience while maintaining strict confidentiality. Working in a sensitive and emotionally significant area of healthcare, the Clinic Administrator must demonstrate professionalism, empathy, discretion, and strong organisational capability., Reporting to the Clinic Manager, or their appropriate delegate, and working closely with clinical colleagues, the Patient Coordinator will effectively and efficiently manage all patient journeys, while driving the delivery of a variety of financial targets. This management, along with other supporting administrative duties, will include but is not limited to:

  • Provide professional and welcoming reception cover, including greeting patients and visitors in person or by telephone.
  • Respond to patient queries via telephone and email in a timely, empathetic, and professional manner.
  • Answer incoming calls promptly and direct them appropriately.
  • Take accurate and detailed messages and ensure timely follow up.
  • Provide day-to-day administrative support as directed by the Hub Manager
  • Accurately update patient records and electronic medical record systems.
  • Maintain databases, spreadsheets, and reporting logs.
  • Undertake additional administrative duties to support the smooth running of the clinic.
  • Always maintain strict patient confidentiality in accordance with GDPR, data protection legislation, and clinic policies. Handle sensitive medical and personal information with discretion and professionalism. Ensure secure storage and transmission of patient records and adhere to all clinic governance and regulatory requirements.
  • Contribute proactively to delivering a compassionate, patient-centred service. Demonstrate empathy and sensitivity, recognising the emotional nature of fertility treatment.
  • Maintain a calm, reassuring presence in a fast-paced environment and support continuous service improvement

Requirements

Do you have experience in Typing?, Do you have a GCSE?, * GCSE English and Maths (or equivalent)

  • Business or medical administration qualification (desirable)
  • Previous experience in an administrative or reception role (healthcare setting desirable).
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Competent in Microsoft Office and database systems.
  • Ability to work effectively in a fast-paced, multidisciplinary environment.
  • Understanding of confidentiality and data protection principles., * How many years of customer service experience do you have?

Benefits & conditions

Please note the salary of £30k will be pro rated to the contract length.

Employment is subject to status to work in the UK and two satisfactory references.
