Job description

To provide comprehensive administrative support to the management team, contractors, and tenants. The role involves coordinating appointments, maintaining accurate records and systems, processing purchase orders and invoices, and ensuring smooth communication between all parties involved in housing and maintenance projects., * Answer phone calls from tenants and filter calls to ensure appropriate action is taken.

  • Make and manage bookings with tenants for kitchen and bathroom survey appointments.
  • Send follow-up letters to confirm appointment dates and times.
  • Update spreadsheets and databases accurately with relevant information.
  • Raise purchase orders and drawdowns in Civica as required.
  • Goods Receipt Note (GRN) invoices for payment.
  • Liaise with the Creditors team to follow up on any payment queries.
  • Input Decoration Allowances on various spreadsheets and in QL; process through Civica.
  • Perform general administrative duties as directed by Management.
  • Create purchase orders for suppliers and recruitment agencies.
  • Process invoices through Civica.
  • Take minutes at meetings and distribute them accordingly.
  • Meet and greet contractors on-site or in the office.

  • Confident using Microsoft Office applications (Excel, Word, Outlook)
  • Professional and customer-focused approach when dealing with tenants and contractors
  • Ability to work effectively within a team and independently
