Job description

IT Program Delivery Coordinator to support the Student Systems and Support Team (17 members: Analysts, Developers, Database Administrators).

  • Partnership role with IT Manager (not a management position)
  • Focus on organizing schedules, communications, releases, and process improvements
  • No budget or staffing responsibilities
  • Supports vendor and in-house systems:
  • Vendor platforms: PowerSchool, PowerTeacher/Pro, Schoology, Naviance, Performance Matters, Unified Insights, VersaTrans
  • Internal systems: Student Assignment System (SAS), Transportation Operations Systems (TOPS), Safety and Security Information Reporting System (SSIRS), Truancy Management System

Responsibilities / Duties

  • Oversee recurring operational tasks (incidents, requests, releases, hotfixes, upgrades, start/end-of-year processes)
  • Run daily stand-ups, schedule meetings, coordinate resources across operational and project work
  • Manage operations calendar (bi-weekly releases, hotfixes, tri-annual upgrades, seasonal processes)
  • Coordinate environment prep, UAT, regression testing, bug fixes, security reviews, implementation
  • Represent team in departmental change management meetings
  • Build communication plans for system changes and service interruptions
  • Translate technical updates into plain language for non-technical stakeholders
  • Partner with IT Manager to identify operational improvements, refine SOPs, recommend SLAs, build Tier 1 support processes
  • Configure and improve ServiceNow workflows as team needs evolve
  • Maintain operational templates, SLAs, requirements docs, and ServiceNow dashboards

Requirements

Do you have experience in Project stakeholder communication?, Do you have a Bachelor’s degree?, * 5+ years coordinating IT operations, projects, or service delivery of enterprise software systems

  • Experience with ServiceNow or comparable ITSM/work management platforms
  • Experience coordinating Agile, Scrum, or Kanban practices
  • Experience coordinating system changes, releases, or UAT across stakeholders
  • Strong written and verbal communication skills (technical-to-non-technical translation)
  • Strong organizational, attention to detail, and problem-solving skills
  • Ability to work independently in fast-paced environments
  • Experience documenting processes, procedures, and requirements
  • Bachelor’s Degree or equivalent combination of education and experience

Desired Qualifications

  • Experience supporting Student Information Systems (preferably PowerSchool)
  • Experience in K-12 education technology or large public sector organizations
  • Experience configuring ServiceNow workflows (SPM and CWM modules)
  • Certifications: PMP, PgMP, CS, PMI-ACP, ITIL, Six Sigma/Lean
  • Background in systems administration or technical application support
  • Experience with cloud-hosted applications, system migrations, or enterprise integrations
  • Familiarity with IT security and compliance requirements
  • Experience coordinating with enterprise vendors and third-party providers
  • Understanding of technical debt management and system sustainability practices
