What You'll Be Doing Client & Helpdesk Support
- Act as the go-to contact for client queries, keeping communication clear and consistent
- Manage incoming helpdesk requests, logging and monitoring jobs through the CAFM system
- Coordinate updates, ensuring that all stakeholders are informed from start to finish
- Prioritise issues, allocate tasks, and oversee follow-up actions
- Keep asset records, job notes and digital logs up to date
Contract Coordination
- Prepare documentation and reports required for monthly contract meetings
- Maintain and update digital logbooks, training records and compliance files
- Monitor service delivery performance and support efforts to exceed SLAs and KPIs
- Track contractor activities, plan maintenance schedules and organise ad-hoc visits
- Support contract improvements by identifying ways to streamline or innovate processes
Financial Administration
- Create and manage work orders, quotations and purchase orders
- Review and receipt invoices, ensuring accurate financial information is captured
- Assist with billing cycles, revenue tracking and forecasting activities
- Take part in weekly financial review meetings and monitor the account's P&L
- Highlight discrepancies, resolve issues promptly and maintain audit-ready records
Requirements
Do you have experience in Microsoft Office?, * Experience in a busy operational, facilities or service-oriented role
- Strong communicator able to build effective relationships at all levels
- Highly organised with a keen eye for detail
- Able to work independently, multitask and prioritise effectively
- Confident with Microsoft Office; exposure to CAFM systems is advantageous
- Solutions-focused attitude with a proactive and professional approach
